The venue is usually the largest line item in your wedding budget — and the decision that locks in your date, capacity, and many of your vendors. These are the questions to ask before you sign.

Contract & costs
- What is the total rental fee, and what does it include?Some venues bundle tables, chairs, linens, and cleanup; others charge separately for every item.
- What is the payment schedule, and when is the final balance due?Know deposit dates, cancellation terms, and refund policy before you sign.
- Are there any hidden fees (service charges, gratuity, overtime, cleanup)?Venue quotes are often pre-tax and pre-tip. A 25–30% add-on is common.
- What is your cancellation or postponement policy?Life happens. Ask for the exact reschedule window and any fees.
- Do you have liability insurance, and do you require vendors to carry it?Some venues require certificates of insurance from every vendor you bring in.
Capacity & logistics
- What is the maximum seated capacity, and how does it change with a dance floor or band?A room that fits 150 seated may only fit 120 once you add a dance floor and stage.
- How many events do you host per day?You want to know if another wedding is before or after yours and how setup time is protected.
- What time can vendors arrive to set up, and when must everything be cleared?Florists and DJs need load-in windows; rentals need breakdown time.
- Is there a bridal suite or private getting-ready space?A quiet room for photos, touch-ups, and a moment alone is worth confirming.
- Is the venue accessible for guests with mobility needs?Check ramps, elevators, accessible restrooms, and parking proximity.
Food, drink & rentals
- Do you have an in-house caterer, or can we bring an outside caterer?Dry-hire venues give you more control; in-house venues simplify logistics but limit choice.
- Can you accommodate dietary restrictions and allergies?Vegan, gluten-free, nut-free, and kosher options should be confirmed in writing.
- What is the bar structure: open bar, consumption-based, or BYO?Bar pricing can swing the budget dramatically. Ask about package tiers and corkage.
- Are tables, chairs, linens, and dinnerware included, or do we rent separately?This affects your rental budget and whether décor vendors can deliver a consistent look.
- Can we do a tasting before we finalize the menu?Tastings should happen before you sign, or at least be included in the contract.
Design, sound & restrictions
- What décor restrictions exist (candles, open flames, hanging installations, confetti)?Fire codes and venue policies can ban items you assumed were fine.
- Can the band or DJ use the venue sound system?Some venues require approved DJs or have hard noise limits and curfews.
- Are there any photography or videography restrictions?Historic sites, religious venues, and outdoor spaces may restrict flash, drones, or tripods.
- What is the backup plan for rain or extreme weather?For outdoor ceremonies, ask how the indoor backup is configured and when the decision is made.
Day-of flow
- Who is our main venue contact on the wedding day?You want a named person, not a general desk number, for any last-minute issue.
- Is a coordinator or venue manager included in the package?Venue managers handle the room; wedding planners handle the whole timeline. Don't assume they overlap.
- What time does music have to end?Curfews affect your reception timeline and after-party plans.
- Where do guests park, and is there a shuttle or valet option?Parking problems are one of the most common guest complaints. Plan it early.
